Connecting Salesforce to Xero with Breadwinner

We've just finished two implementations of Breadwinner, which connects Salesforce to Xero. Given how much Xero and Salesforce dominate the Australian cloud eco-system, I wanted to blog about our experience with Breadwinner.

One implementation was for a client with a highly complex situation, and the other was a fairly typical installation for ourselves.

We chose Breadwinner both times because they have the most robust data flow from Xero to Salesforce. There are competing apps on the market, like Zapier, One SaaS, and Workato, and all of them will do a good job getting data out of Salesforce into Xero. 

Where Breadwinner is different is that it ensures an accurate and complete flow of data from Xero to SF. Within minutes of installing Breadwinner in our client's org, they had a live copy of every single Xero Invoice, Bill and Purchase Order, as well as respective Line Items and Payments, and even a copy of every Xero Contact, Customer, & Supplier.

It's Breadwinner's job to keep that data up to date, and they check Xero several times an hour for updates and new Invoices or other records. As a Salesforce Consultant, we like apps that take on this type of responsibility!

What made this client's implementation particularly tricky was the multiple ways they needed to create Xero Purchase Orders. Sometimes they needed to create Purchase Orders from Opportunity Products, while other times from their custom objects. Breadwinner was able to handle everything.

Our own implementation of Breadwinner went smoothly, and we now have a live feed of Xero Invoices in Salesforce, with handy mini-dashboards on each Salesforce Account showing what a client owes and has paid. Here's what that mini-dashboard looks like:


While we were impressed with Breadwinner from a product level, there are a couple things they need to improve on. The Support Site is sufficient, but the main website needs more information, videos, and demos. I would have liked to see a user manual, and in-app contextual help, all of which is lacking.

Breadwinner is also making the bold suggestion that they are an alternative to FinancialForce, and I think they need a few more features before they can claim this. For instance, I would have liked to see the ability to defer and schedule revenue through Xero Journal Entries. It would be great to have the ability to create an Invoice with an Invoice date, but at the same time created deferred revenue milestones, something we have to do on a long consulting project.

Coffee, Hipsters & Marketing Automation

Blasts, drip feeds, journeys and cookies. Automated marketing is a hot topic not only in the technology space, but pretty much everywhere. With the wave of big data, businesses that are succeeding lap up huge amounts. It is key to harness the patterns through analytics, get hotter leads, have more targeted conversations and relate to your client on a deeper level. To get it right, you need the right tools. Marketing can win over sales, turning those before cold leads to hot.

Putting the buzzwords aside for just a moment, in every interaction between businesses, fundamentally you are communicating with a person. The rise of Facebook, Instagram and Pinterest are driven by user experience. Sharing a snapshot of your day, that almond milk latte with your Harvard Business review perched just off centre, gives the aura that you’re deep and dairy free. How then do business replicate this sentiment in their own interactions with customers?

Having a marketing automation tool manages your website, scores your leads then pushes it into your CRM for prospecting. Qualified, contextual, but most importantly, individually focused. Your conversation can be targeted to exactly what that individual is interested in and will pave the way to a better understanding of your clients pain points. Down the other end of that screen is a coffee sipping, egocentric hipster who is more concerned with what their next Instagram photo will be than what you’re trying to get across. You will need a little bit more than simply their name represented in your bulk email blast.

It is in the nature of a Hipster to think they are mysterious. Unmask their mysteries through analytics. Nurture your prospects through Journeys, designed specifically for different segmentations of your database. Pick a tool that can help you build and funnel your prospects through an automated email journey, keeping your business top of mind. Make sure your new technology has excellent reporting and analytics functionality can determine which communications are received the best, and alter future prospects pathways based on fact, unmasking those mysteries.

Urging your prospects onto your website, even pulling them in through Google Adwords can be tracked and stored against even your most elusive visitors. If they have been fishing around before, good tools keep the cookie history for later. Our little almond latte hipster won’t have noticed the cookie crumbs in his beard.

Finally! A Better way to pay for Salesforce!

Hands up if you've heard the term "Cashflow is King!". The reality is that for all businesses this is a very true statement.

What if you have said or thought "I want Salesforce but cannot afford the initial outlay for licenses and implementation costs". This is a certainly a common comment we hear when talking to customers - and it affects everyone regardless of their size.

Surely there must be a better way... why should businesses pay all the implementation and license costs upfront? Why can't you finance your licenses and implementation costs like other assets in your business?
